Form design is a specialized service, of particular importance to transactional mail clients. If you need a template for your data, billing, or statement mailings, we can work with you to create something from a blank sheet that will serve your purposes efficiently and cost-effectively. If you have a template design but want to upgrade it to include color and/or targeting messaging such as advertising services related to historic treatment options, we can help. As a Certified Seamless Acceptance™ Postal Service Provider (PSP), Mailtropolis is required to scan all mailing lists through the National Change of Address (NCOA) file which goes back four years on every registered address to verify current and relocated addressees. We also certify each address with the USPS’s Coding Accuracy Support System (CASS) and Delivery Point Verification (DPV). We can easily apply this technology to ensure your mailing lists are always up to date.

Closed Loop Processing

Closed Loop Processing

Once your data and/or art files enter our customer portal, it is stored and processed in a secure, encrypted environment, unavailable except to download proofs, or continue to our certified material processing environment. Re-coupled address and PHI or NPI is never viewed by document processers.

End-to-End Tracking

End-to-End Tracking

Once data and art leave the Closed Loop Processing environment and are transferred to document production and processing, every step is tracked, controlled, and documented with time and date stamps.

  1. Production of the Job Allocation File (JAF) using the automated Insertion Management Intelligent Software that coordinates the printing, collation, and production of all physical mail pieces.
  2. Creation of the Job Reprint File (JRF) documenting which pieces were either not produced or rejected during production. The JRF becomes a secondary JAF after the correction of any errant data.
  3. Production of the Job Completion File (JCF), a transmittable report documenting the successful completion of all pieces included in the JAF and JRF. The mail data is then uploaded into the USPS through eInduction.

A few years ago, the USPS developed a new standard in mail barcoding technology called the Intelligent Mail Barcode™. After several product iterations and a lot of creativity, the USPS created the Informed Delivery™ program, allowing innovative Postal Service Providers the capability to track mail from its induction into the USPS mail stream to the point of delivery. With Track-N-Trace technology added to Closed Loop Processing and End-to-End Material Traceability, you can have complete confidence in the integrity of your PHI or NPI document fulfillment job.
